Having Trouble with Monthly Meetings? Use This Timeline!

Planning a meeting can be a bit challenging, considering you have to work out a time and place that everyone can meet at without running into their schedule. If you're looking to plan the most effective meeting, follow along with this timeline to make sure you get the most out of it. 

Four Weeks in Advance

Depending on the type of meeting, you may need more time to set up or less. This timeline will go over everything that needs to be done for a basic office meeting rather than a large corporate meeting.

  • Decide on whether or not a meeting must be had, or if the topic can be discussed over a conference call or mass email
  • Identify the purpose of the meeting, exactly what needs to be discussed and talked about
  • Get an idea of who to invite to the meeting, making sure you invite those who will benefit most from it
  • Plan a date, time, and place for the meeting

Three Weeks in Advance

  • Send out emails/make phone calls inviting people to the meeting
  • Be clear on the topic of the meeting so people can have some time to prepare
  • Plan out an agenda for the meeting which outlines what you want to talk about in detail
  • Write down things you'd like to discuss specifically
  • Plan a timeline for each section of the meeting (ex. introduction, discussion period, questions, etc)
  • Get an idea of a powerpoint/presentation if you're going to use one

Two Weeks in Advance

  • Start putting together a presentation/powerpoint if you're deciding to include one
  • Ensure that the room you'll be meeting in isn't booked or taken on that day
  • Gather all supplies that you'll need for the meeting
  • Follow up in person with everyone attending if it's necessary

A Few Days in Advance

  • Send out reminders to all those attending the meeting
  • Send out the outline of the meeting so that all attendees can know exactly what's being discussed
  • Get together all important things you might need for the meeting (ex. print out the outline for the meeting for attendees, bring the USB including the presentation, etc)

The Day of the Meeting

  • Start on time, don't start any earlier or later than initially plan
  • Stay on topic and don't stray from it during the meeting
  • Don't drag the meeting on, end it in an appropriate time while making sure all questions have been answered

With that, you're all set to plan the perfect meeting. If you follow along with these steps you'll have no problem in putting together a successful meeting. Always keep in mind that you shouldn't let the meeting run too long, because people may start to get bored or distracted during it. You want their attention on you and the topic, so don't drag it on for hours.
